Switching from another tool
Switching from another directory tool?
Moving an employee directory is mostly a data exercise: get the people out, check the reporting lines, and invite everyone again. This page lists what to compare, how a move to Crewhaven works, and what it costs.
01
What to look for
Whatever you are using now, judge the replacement on the same short list. A directory earns its place by being faster than asking a colleague.
- Search that finds people by name, title, department, phone and skill
- An org chart drawn from reporting lines, so nobody maintains it by hand
- A separate admin view for HR and IT, with private fields hidden from everyone else
- Sign-in with the accounts people already have, such as Microsoft 365
- A phone app or installable web app, with one-tap call, text and email
- Exports of every record, so you are never locked in
02
How migration works
Your administrators import people from a CSV export of the old tool, or sync them from Microsoft Entra ID. Each row becomes a profile, the manager column draws the org chart, and anyone missing a manager shows up so you can fix it before launch. Invitations go out in batches, and only when an administrator sends them.
Photos, skills and announcements can be added after the import. Nothing about the move requires your employees to do anything until you invite them.
03
Comparison checklist
- Total cost for your headcount, including set-up and any per-feature tiers
- Minimum employee count and how users are counted
- Who can see private HR fields, and whether that is configurable
- What happens to your data if you leave: format and timing of exports
- Support hours, and whether support is included in the price
- Whether the product can carry your own name, logo and colors

Where Crewhaven fits
Crewhaven is a flat $0.80 per employee per month for Standard, or $1.00 with your own branding. Minimum 100 employees, 10% off when you pay yearly. Hosting, backups, security updates and support tickets are included. Try the live demo as an administrator and as an employee, then book a 30-minute consultation to see the directory with your company's name and logo on it.
Questions
How do we move our people over from another directory tool?
Your administrators import people from a spreadsheet (CSV) export or sync them from Microsoft Entra ID. The org chart then draws itself from each person's manager, and nothing is emailed until an administrator chooses to send invitations.
What should a CSV import contain?
At minimum a name and work email for each person. Title, department, location, phone and manager are optional but fill out the directory and the org chart. Most tools can export these columns, so you rarely need to retype anything.
How is Crewhaven priced compared with other org chart software?
Crewhaven is a flat $0.80 per employee per month for Standard or $1.00 with the Branding package, counted in blocks of 10 with a minimum of 100, with 10% off yearly. There is no per-feature tiering: every plan has the full product. Check each vendor's current pricing page when you compare.
Can we run both tools side by side while we decide?
Yes. The live demo needs no sign-up, and a pilot import does not affect your current tool. Switch over when your administrators are satisfied with the data.
Does Crewhaven white-label the product?
Yes. The Branding & Personalization package gives the directory your product name, logo, colors, app icon, web address and invitation emails.
